Hotel Terms & Conditions

Black Horse Hotel

General Terms & Conditions

INTRODUCTION

Upon making your reservation with us, you agree to adhere to our terms and conditions, outlined below. Once you have paid your deposit, both parties are bound to this agreement.

These terms apply to bookings made directly through us via telephone or our website, or if you book through a third party such as but not limited to Booking.com, Wowcher, Expedia.

We reserve the right to amend these terms and conditions at any given time, and you should therefore check them each time you make a reservation. The terms and conditions applying to your reservation will be those in place on the date you made your reservation.

RESERVATIONS

You must be 16 or over to make a hotel reservation.

Please check that your reservation details are complete and accurate; we will not be liable for any no-show or delay due to incorrect information provided by you.

For us to secure a reservation credit or debit card details are required.

We will take a deposit from the card details provided unless otherwise agreed directly with hotel management before your booking being made. The deposit paid will then be deducted from your booking's total cost, which is payable upon check-out.

A reservation is not considered secure without a deposit.

If we cannot take a deposit from the card details you provide, we will endeavour to contact you to find a suitable, alternative means of acquiring the payment. We will give you reasonable time to do this (reasonable time frame is at our discretion). Should we fail to reach you for any reason, we reserve the right to cancel your unsecured booking.

PRICES AND DEPOSITS

We adopt dynamic pricing, and the price of our rooms can fluctuate. When you make a reservation request, we (or a third party operating on our behalf) will send you a total price for the rooms, number of nights and any additions you have made. The price you pay is the price quoted at the time you make the reservation.

To secure a booking, we will take a £50 deposit per room booked. If you book two rooms, the deposit is £100; three rooms, the deposit is £150; and so forth. This deposit secures your booking and binds both parties into the agreement. We do not consider the booking to be secure, or the agreement binding, until the appropriate deposit has been taken.

Breakfast is a complimentary inclusion for those who occupy our rooms, not part of the room price, and no discount will be offered or given for parties who decide not to have breakfast during their stay. We can add extra breakfasts for individuals not staying at our premises at a supplementary rate.

All prices are inclusive of VAT at the applicable rate at the time of reservation.

You must settle the outstanding accommodation amount (total cost of room minus any deposit paid) on check out. We reserve the right to charge the final balance to the card details you provided upon booking should, for whatever reason, you fail to settle the outstanding amount upon leaving the hotel.

CANCELLATION BY THE GUEST

We are a small business, so cancellations can significantly impact us, especially if we have turned away potential guests in favour of someone who has already booked and who then cancels. However, we do appreciate that unforeseen circumstances can arise, and we try to be as sympathetic and helpful as possible in such cases.

Cancellations to bookings made up to 12 pm, 7 days before the arrival will be eligible to have their deposit refunded or the value of it issued as a cancellation voucher. After that time the deposit will become non-refundable.

The booking's total value will be charged if cancellations are made with less than 72 hours notice.

Any non-arrivals will also be charged in full, and there will be no exceptions to that rule.

CANCELLATION BY US

If you break the agreement with us in any way, we may cancel your reservation with an immediate effect at any time (including during your stay). The break of the agreement includes, but is not limited to:

  • unacceptable or abusive behaviour
  • Break of COVID-19 guidelines
  • breaches of our smoking policy
  • property damage
  • underage drinking and child endangerment
  • misuse of internet facilities provided by us

Should it become necessary for us to cancel or re-schedule a booking we will contact you immediately. Any payments made will have an option of a cancellation voucher, booking transfer or refund. Should you wish to, we will attempt to book you into another venue in the local area, but you will be responsible for settling your own accommodation charges. Any special offers on the original booking will not be honoured outside the special offer periods. If re-booking, you will be expected to pay the price available at the time.

INSURANCE

We recommend that you have insurance to cover cancellation fees, curtailment, loss of baggage, personal effects, and money. We may take legal action, through the Courts, to recover any outstanding debts.

During Covid-19 pandemic, we advise that you take out a suitable insurance product to cover against unexpected costs such as the cancellation fees.

ADDITIONAL COSTS

Purchases made in our bar or restaurant can be charged to your room account during your stay, provided we have valid card details to secure the account. We reserve the right to withdraw this service at any given time and ask for any charges to be settled immediately.

If you are bringing a dog with you on holiday, you will be charged a fee per dog, per night of your stay. We do allow a maximum of two dogs per room (please contact us, if you need to bring more than that).

You may incur additional costs if you should breach the terms of our agreement, outlined here.

You may incur additional fees for extra cleaning required due to your behaviour, whether at our property, another guests personal possessions or a third party affiliated with our establishment.

You may incur additional costs for any damage to or property loss due to your behaviour, whether this is our property, another guests personal possessions or a third party affiliated with our establishment.

You may incur additional costs for any breach of our smoking policy. Anyone found smoking on the property will be fined without prior notification.

You may incur additional costs for failing to vacate your room by our check-out time on the date of departure.

Any outstanding additional costs must be settled, alongside your accommodation charges, upon check out. If you fail to pay these accounts, we reserve the right to charge them to the card details provided upon booking.

PAYMENT METHOD

You must provide valid card details to secure a booking. We accept Visa Debit, Visa Credit, Maestro, Mastercard and Amex for card payments and deposits. We do not accept cheques.

ARRIVAL AND DEPARTURE

Our guests are welcome to check-in from 3:30 pm on the date of their arrival. You must inform us if your check-in time is likely to be later than 9:30 pm. Unless agreed with us before your stay, your rooms must be vacated by 11 am on the date of departure. Failure to leave a room by this time may result in you incurring a late check-out fee of £35.

OCCUPANCY

You must not exceed the maximum occupancy allocated to you for your room without prior agreement. We reserve the right to conduct checks on occupancy. Occupancy is not transferable.

For those with small children, a travel cot can be made available upon request at no extra cost, but this is subject to availability. Bedding for this is also available but at a surcharge.

SPECIAL REQUESTS

Although we will try to accommodate special requests, these are subject to availability, and you may incur extra charges.

ACCESSIBILITY

Please be aware that all our rooms on the property are upstairs and are therefore not wheelchair accessible.

Once we know these, we will always endeavour to make reasonable adjustments for any special needs or requirements. If we cannot make adjustments that suit the requirements for you or someone in your party, we will let you know at the earliest opportunity.

DOGS

We are a dog-friendly establishment and allow dogs in the bar, bedrooms and some areas of the restaurant. There is a fee per dog, per night charge applicable to your booking. Dogs are not to be left unattended in hotel rooms or on any part of the premises. Owners must keep dogs on a leash and under control in all public areas. Dogs are the responsibility of those who have brought them onto the hotel grounds. We reserve the right to reject or bar from entry any dog which is unruly, out of control or causes damage within the property and its grounds.

Those who have severe reactions to animal fur and dogs should be aware that we welcome dogs in all the customer areas. Therefore we cannot guarantee you will not come into contact with these potential allergens.

OUR EXPECTATIONS OF BEHAVIOUR

You must not:

  1. Smoke anywhere inside the property (see smoking policy).
  2. Bring any potentially hazardous materials or equipment onto our property.
  3. Tamper with any fire alarms or emergency equipment.
  4. Prevent management, housekeeping or maintenance from accessing your room.
  5. Remove, damage or destroy any property that is not your own.
  6. Use any electrical equipment that could set off a fire alarm.
  7. Cause significant distress or disruption to the stay of another guest.
  8. Make excessive noise in the hotel corridors or rooms that might disrupt the visit of other guests.
  9. Resell or transfer your reservation (or any part) without the management's express authorisation.

IF THERE IS ANY BREACH OF THIS AGREEMENT, WE RESERVE THE RIGHT TO:

    • cancel your reservation with immediate effect and (if appropriate) remove you and your party from the premises
    • restrict access to the hotel, bar, restaurant and any other part of the property
    • refuse future reservations from you and bar entry to you and others involved
    • not be liable for any refund in the event of such circumstances
    • cancel or decline reservations made and stays in the progress of those who have previously breached these Terms and Conditions, whether the reservation is in that name or not

LICENSE

As we are functioning and fully licensed pub, guests should expect some noise levels to occur on busy evenings and during special events such as New Year's Eve, Halloween Disco and Christmas Eve Disco.

On certain evenings such as the 1940s Weekend, Christmas Eve, New Year's Eve and Halloween we have live music in our bar area. We will advise you of this before your stay. Whilst we do all we can to ensure noise levels are not disruptive to our guests' comfort, there is the chance that some noise may occur. If you wish for a quieter room, we will endeavour to ensure you are placed in one, upon prior request, but this is a subject to availability.

Our license does not extend extra drinking time or rights to hotel guests, and guests are subject to the same licensing restrictions regarding the sale of alcohol as non-resident customers.

SAFEGUARDING

Under the law, it is our responsibility to make sure suitable control measures are in place to protect children from harm. To adhere to the law, we reserve the right:

  • to ask any guest for valid, photographic ID, such as a passport or driving license, and securely record a copy of this information
  • securely store information such as name, address and date of birth in the interest of safeguarding
  • share this information with appropriate authorities should a valid Police request be received
  • conduct inspections of rooms should there be any concerns regarding the safeguarding of children from harm
  • eject or bar from entry any persons showcasing valid concerns regarding safeguarding. In such an event, we may call appropriate authorities

YOUR RIGHTS AND APPLICABLE LAW

If you are a non-business customer, you have certain rights under consumer protection legislation. Nothing in these terms and conditions is intended to affect those rights. These terms and conditions, their subject matter and formation (and any non-contractual disputes or claims) are governed by and construed in accordance with English law. If you are a consumer, you and we both agree that England and Wales courts will have non-exclusive jurisdiction over any claim arising from, or related to, your reservation and stay at our hotel. We retain the right to bring proceedings against you for breach of these terms and conditions in your country of residence or any other relevant country.

OUR LIABILITY

We do not accept liability for failure to meet any of our obligations where such failure is due to events beyond our reasonable control.

Suppose we breach these terms and conditions for reasons within our control. In that case, we shall only be liable for losses that are direct losses and a reasonably foreseeable consequence of such breach.
